Radiation Oncology


MOSAIQ & the New User Interface

Participants will learn the basics on how to configure the new MOSAIQ Home and Chart screens. MOSAIQ’s new configurable Home screen allows users to customize a personal workspace for optimum efficiency. MOSAIQ’s new Chart screen allows each cancer center to customize an electronic chart that meets its specific guidelines. Consolidated work lists will also be covered. Instruction will be specific to Radiation Oncology.

Scheduling in MOSAIQ

Participants will learn how to use the new scheduling features available in MOSAIQ, including User Defined Schedule Views, Appointment Calendars, and Guidelines. These scheduling features are available in MOSAIQ.  At the conclusion of the session, the participant will be able to use different schedule views, create and modify series scheduling for common appointment scenarios, and specify certain activities and rules. Features covered will be specific to Radiation Oncology.

Spotlight on System Administrators - Level One

During this session, participants will learn the introductory system administrator functions within Multi-ACCESS and MOSAIQ.  The features this session will focus on include staff security, procedures and supplies, administrative features of the department setup and managing each patient’s status.  System administrators will also see how Quality Checklists can help their department streamline workflow.   

At the end of the session the participant will be able to:
 

  • Edit staff security rights and clone rights from another user
  • View procedures and supplies, as well as make edits to existing codes
  • Configure department defaults in the department setup
  • Manage patient statuses
  • Understand how using Quality Checklists will streamline department tasks and documentation

Spotlight on System Administrators - Level Two

During this session, participants will learn advanced system administrator functions within Multi-ACCESS and MOSAIQ.  This session will focus on audit tracking of schedule and quality checklists, configuring the user log, creating custom schedule statuses, managing the patient log, and working with captured codes.  System administrators will also run selected reports and trend valuable data. 

At the end of the session the participant will be able to:

  • Configure the audit tracking of schedule and Quality Checklist items
  • Understand and configure the patient log
  • Create custom schedule statuses
  • Manage the user log
  • Work with captured codes
  • Run useful reports for statistic purposes

Spotlight on Radiation Therapists - Level One

Participants will gain a general understanding of the various features found on the Diagnosis and Intervention screen, how to read the Radiotherapy Treatment Chart, and the various warnings encountered on the Treatment Readiness Check.
At the end of the session the therapist will be able to:

  • Understand the basics of the Diagnoses and Interventions screen

  • Know and work with the radiotherapy treatment chart

  • Understand common warning messages prior to treatment delivery

  • Work with the port film status window

Spotlight on Radiation Therapists - Level Two

Participants will gain a high level understanding of right mouse click options available in the Treatment Delivery Table and how to review, annotate, and correct electronic images via the Image Work List.  Participants will comprehend the importance of completing change requests made by the Radiation Oncologist.
At the end of the session the therapist will be able to:

  • Explain the reasons why they would utilize the right mouse click options from the treatment delivery table

  • Comprehend the scenarios when each right mouse click option should be used

  • Explain all of the features of the Image Review window

  • Comprehend the importance of completing change requests for images

Spotlight on Dosimetrists and Physicists – Level One

This session is designed to cover topics related to a Dosimetrist who is new to IMPAC software. The session will cover basic dosimetry functions within the Multi-ACCESS and MOSAIQ applications. This includes reviewing the Diagnosis and Interventions window, adding a site setup to incorporate the patient’s orientation for treatment or imaging, enter treatment field definitions for a treatment field and for portal images only, importing a treatment plan, basic dose tracking, approving fields, and finally reviewing the treatment chart.

At the end of this session the user will be able to:

  • Explain the Diagnosis and Interventions window

  • Add a Site Setup to a Radiation Prescription

  • Create a treatment field definition for treatment

  • Create a treatment field definition for imaging purposes only

  • Import a treatment plan

  • Understand how the system generates basic dose tracking

  • Approve treatment fields

  • Explain the Treatment Chart

Spotlight on Dosimetrists and Physicists – Level Two

This session is designed to cover topics related to Dosimetrists who are familiar with IMPAC products and are looking to expand on their current use of the software. The session will cover advanced dosimetry functions within the Multi-ACCESS and MOSAIQ applications. This includes configuring the dosimetry settings in the Department Setup, setting up useful tolerance tables, configuring RTP Import Defaults, adding advanced dose tracking, reviewing overrides in various locations, utilizing the Chart Check feature and approving treatment plans along with the Radiation Oncologist.

At the end of this session the user will be able to:

  • Configure the options in the Dosimetry Configuration window to meet their departments needs

  • Configure tolerance tables for every variety of treatment style

  • Add RTP Import Defaults to simplify the creation of treatment fields

  • Track dose in a more compound way

  • Review overrides to the treatment fields in a variety of windows

  • Complete a Chart Check

  • Approve treatment plans that have been approved by the Radiation Oncologist

Setup Intelligence

Participants will learn how to use the Setup Intelligence product available in Multi-ACCESS and MOSAIQ. These features include orthogonal image registration, recording third party offsets, trend analysis, and more.  Features covered will be specific to Radiation Oncology.

At the end of the session, the participant will understand how to:

  • Perform orthogonal image registration

  • Record third party offsets

  • Review the localization trend worklist

Orders and Quick Rx

Participants will learn how using the Orders feature within Multi-ACCESS and MOSAIQ can be a nice addition to any department’s daily workflow. The Orders feature includes single order entry, batch order entry called Quick Rx and order statusing. Features covered will be specific to Radiation Oncology.

At the end of the session, the participant will understand how to:

  • Add single orders

  • Add multiple orders using Quick Rx

  • Apply one of the many statuses

Spotlight on Radiation Oncologists

This session will focus on the features within Multi-ACCESS and MOSAIQ that are utilized by the Radiation Oncologist. The features this session will focus on the eCHART Navigator and all of it’s components as well as how to manage your scheduled activities for one day or over an entire month. The Radiation Oncologists will also see how the new user interface windows in MOSAIQ can streamline their daily processes.

At the end of the session the Radiation Oncologist will be able to:

  • Open the eCHART Navigator and view a broad perspective of a patient’s treatment plan and status

  • Review and modify a patient’s notes, diagnosis, care plan, radiation prescription, orders, documents, labs and vitals, and Quality Checklist

  • Manage patient images

  • Manage their schedule

  • Understand how the new user interface will streamline their daily tasks

Image Registration and Setup Intelligence

Participants will learn the process of image registration and the features of Setup Assist, (Setup Intelligence).

This course is designed for customers using ViewStation and Multi-ACCESS v 8.2 and above or MOSAIQ.  This course will cover all of the pre-requisites to performing image registration as well as provide examples of all three methods (point, curve, and manual image registration).

This session will also cover aspects of the IMPAC management system that expand the image registration functionality, known as Setup Intelligence. This includes orthogonal image registration, trending capabilities, and more.

eScribe Template Building

Participants will learn how creating custom eSCRIBE templates in Multi-ACCESS and MOSAIQ can complement a department’s daily workflow and documentation requirements. By adding the right merge fields into your eSCRIBE templates, the staff member can quickly complete site documentation such as consultations, follow ups, and simulation documentation along with many other required treatment documentation. Features covered will be specific to Radiation Oncology.
At the end of the session, the participant will understand how to:

  • Explain why merge fields are useful in eScribe Templates

  • Add various merge fields into an eScribe Template

Medical Oncology


MOSAIQ & the New User Interface

Spotlight on the Chemo Nurse

During this WebEx applications training session, participants will learn about the features of the IMPAC oncology management system that pertain to the Chemotherapy Nurse.Topics covered include documenting treatment, verifying treatment, and correcting treatment.

At the conclusion of this session, the participant will be able to:

  • View Clinician Worksheet (CWS)

  • View orders from Orders Window

  • Approve orders as Verbal Orders

  • Select orders to be treated

  • Document in the MAR

  • Using the Route and VAD tabs

Quality Checklists in a Clinical Setting

During this WebEx applications training session, participants will learn how QCL can be used for reminders for chart review, patient consideration for clinical trials, care plan review to notify patient of out-of-pocket expenses for treatment, follow-up reminders of outside test reports, and MD requests for further action regarding a patient such as faxing lab results to a Nephrologist.

At the conclusion of this session, the participant will be able to:

  • Set up a procedure

  • Create 'Appended' QCL procedures

  • Add QCL to a patient

  • View QCL items

  • Mark QCL as completed

  • Charge upon completion of a QCL item

  • Report using QCL

Assessments / Observation Definitions

During this WebEx application training session, participants will learn how to translate existing patient assessments data from paper format into the electronic format within Multi-ACCESS. The participant will become familiarized with the use of the Observation Definition feature in the System Utilities of Multi-ACCESS & MOSAIQ. The participant will learn the role of the Observation Definition feature in configuring the system, its components and their functions.

This class is geared toward those who need to configure patient assessment view. It will also cover the process to create patient flowsheets, vital signs documentation and laboratory report data views. At the completion of this session, participants will be able to:

  • Identify and define four major components that make up a view in the assessment

  • Differentiate between types of items (table, data, function, folder)

  • Create new data items, table titles/table items, and folders

  • Differentiate between table item and table title

  • Differentiate between major and minor folders

  • Describe role of Chart Builder

eSCRIBE for Medical Oncology

During this WebEx application training session, participants will learn to create templates and transcription management. Templates incorporate preset narrative and patient information directly from the database. Management includes viewing, adding, modifying, approving and distributing transcriptions. Participants will become familiarized with navigation the document window, management of the document types list and creating, editing and saving documents.

At the completion of this session, participants will be able to:

  • Navigate through the Documents Window

  • Manage document types list

  • Manage templates

  • Manage patient encounters

  • Create, edit, and save documents

Billing Reporting

During this WebEx applications training session, participants will learn the basics about billing reports and the untapped power of billing reporting. This class is geared toward those who need to understand which billing reports will provide the information needed to work the A/R, document timely filing for claims, obtain balances at the end of each ledger closing period, and gather any other financial information that may be required. It hits the highlights of our half and full day in-house/regional billing reporting course.

During this WebEx applications training session, participants will learn how to utilize the ledger to assist in the resolution of A/R issues. This class is geared toward those who deal with insurance recoupments, refunds, A/R follow-up, and other types of adjustments.
